Executive Assistant (Operations & Management)

We are seeking an exceptionally disciplined, high-efficiency, and proactive Executive Assistant to support the Director and Management team. This is not a personal assistant role; you will be the primary driver of corporate projects, ensuring that all business initiatives are executed on time and to standard. You are the “problem solver” who bridges the gap between strategy and execution.

Responsibilities:

  • Project Monitoring & Execution: Track all ongoing tasks from management meetings. Ensure every department meets its deadlines and follows through on “Action Items.”
  • Operational Oversight: Take full responsibility for new outlet openings (New Store Opening – NSO). Coordinate with contractors, suppliers, and internal teams to ensure a seamless launch.
  • Problem Solving & Crisis Management: Act as the “first responder” for on-site issues. You are expected to identify bottlenecks and resolve them independently before they escalate to the Director.
  • Team Coordination & Leadership: Act as a bridge between the Director and the staff. You will help guide team members, ensuring they understand their KPIs and maintain the company’s pace.
  • Customer Service Escalation: Oversee critical customer service cases. Analyze patterns in complaints and implement solutions to prevent recurring issues.
  • Stakeholder Liaison: Build and maintain professional relationships with partners, vendors, and key stakeholders to ensure smooth business operations.
  • Meeting Management: Facilitate management meetings, prepare agendas focusing on high-priority business goals, and ensure clear accountability for next steps.

Requirements:

  • Extreme Self-Discipline: Ability to manage your own schedule and maintain high standards without constant supervision.

  • Proactive Problem Solver: You don’t just report problems; you bring three potential solutions to every challenge.
  • Strategic Thinking: Ability to understand the Director’s vision and translate it into actionable tasks for the team.
  • Communication: Fluent in Malay and English with excellent negotiation skills. Mandarin is a plus!
  • Experience: Proven 2-3 years experience in operations, project management, or a high-level assistant role is preferred.
